Summary
The “Last Updated” field can change even if you did not open or edit a client file. This is caused by automated system processes running in the background.
Why this happens
We run scheduled background jobs that update client records when certain conditions are met:
Birthday Update Job: Automatically updates a client’s profile (such as age) when it is their birthday.
Recommendations Job: Uses age-related milestones (e.g., 60, 71) to trigger planning updates, such as new tax or estate insights.
When these processes run, the system updates the client’s updated_at timestamp.
What you may notice
The client appears in your “recently viewed/edited” or “Last 5 clients updated” list.
No visible changes appear in the Client Data Log for manual edits.
Does this mean someone accessed the file?
No. This is system-generated activity. It does not indicate that another user viewed or edited the client record.
How to verify changes
Check the Client Data Log from the Client Dashboard to see a record of user-initiated updates.
If no entries appear, the update was likely automated.
When to investigate further
If you see unexpected changes in client data (not just the timestamp), review the Client Data Log or contact support for deeper audit details.
